Module Overview
The Inspection Module is designed to manage the full lifecycle of field operations. It enables users to schedule technical visits, document field findings through standardized reports, and issue compliance certificates.
Job Order Management
The Job Order is the foundational document that triggers an inspection activity.
Job Order List
When you click the Job Order card, you access the master registry of all inspection tasks.
- Creating New Jobs: Click the “Add Job Order >” button in the top-right corner to initiate a new assignment.
- Primary Data Columns:
- Inspection Date: The scheduled date for the field visit.
- Assign To: The technical staff member or inspector responsible for the task.
- Current Status: Tracks the job from “Pending” through “Completed”.
- Point of Contact: Client-side information for site access.
Job Order Searching
This tool allows for high-level filtering to manage workloads.
- Mandatory Search Filters: Users must provide a From Date, To Date, and Company name to run a query.
- Optional Filter: Search by Product type to narrow down specific certification categories.
Field Reporting & Standardization
Documentation in the field is handled through reports and pre-defined categories.
Site Report
The Site Report section is used to log findings once an inspector is on-site.
- Function: Documenting specific findings, observations, and the overall status of the site during the visit.
Checklist Category
To ensure all inspections meet universal standards, this module manages evaluation templates.
- Add Category: Use the “Add Checklist Category >” button to create new evaluation criteria.
- Document Support: The “Upload Documents” feature allows for the attachment of regulatory guidelines or reference materials to specific categories.
Certification & Compliance
After a successful inspection, the system transitions to the final documentation phase.
Inspection Certificate Log
This serves as the official registry for all credentials issued by the organization.
- Detailed Tracking: The log records the Certificate#, Date Of Issuance, and the names of both the Inspector and the Verifier.
- Audit Trail: Links the certificate directly to the original Job Order# and Site Report (SR) ID.
Bulk Rejections
For administrative efficiency, this tool handles multiple failed inspections simultaneously.
- Operational Requirement: A Site Report must be initiated before a bulk rejection can be processed.
- Action: Select the relevant Job Order and click the “Rejection” button to process the corrective action.
Operational Calendar
The Calendar provides a visual timeline of all inspection activities.
- Visual Scheduling: View all scheduled inspections and deadlines in a monthly or list format.
- Navigation: Use the arrow keys to toggle between months to plan for future resource allocation.
